Electronic scales and cash registers – how to connect them and why is it worth doing?
May 25, 2025Online sales and cash registers – when do you really need one?
Are you developing your online store? Great! E-commerce is one of the most promising sales channels. However, the more you develop your online business, the more you wonder if a cash register is mandatory. Contrary to appearances, the answer isn't always clear. It's good to know the regulations to avoid unnecessary stress, fines, and tax office inspections. Read what the regulations say about the mandatory cash register for online sales.

Cash register in an online store – when do you need one?
Most often, the requirement to use a cash register applies to stores that sell products to individuals, not businesses. The key criterion here is an annual turnover limit of PLN 20,000. Once this amount is exceeded, a cash register becomes mandatory.
However, remember that there are exceptions. Sales of certain products, such as consumer electronics, perfumes, alcohol, tobacco, and car parts, must be recorded at the cash register from the very first day of operation, regardless of turnover. It's worth keeping this in mind when assembling your store's offerings.
When is there no need to have a cash register?
Fortunately, the regulations are quite flexible, and there are ways to avoid the requirement to have a cash register. The most popular solution is mail order sales with electronic payment or bank transfer. To benefit from this exemption, you must meet several important conditions.
First, you can't offer in-person pickup. All sales must be conducted remotely, without physical contact with the customer. Second, every transaction must be precisely documented. You must clearly indicate who purchased what, exactly, and the amount paid.

Cash register and payment methods – what impact do they have?
The type of payment is crucial when determining whether a cash register is required. If customers pay exclusively via cashless methods—for example, PayU, PayPal, BLIK, or traditional bank transfer—they have a high chance of avoiding the cash register.
Cash on delivery is a slightly different story. You can avoid the cashier obligation if the courier transfers the money to your account rather than settling with you in cash.
The biggest "threat" to the exemption comes from cash and card payments made upon personal collection. Here, the cash register requirement immediately becomes mandatory.
Personal collection and cash register
Online store owners often want to offer customers the option of in-person pickup. However, it's important to understand that even a single in-person pickup option requires a cash register. If you don't want to install a cash register, clearly inform customers that in-person pickup is not possible.
However, if you choose the personal pickup option, you must have a cash register from the first day of your business and register every sale.
What are the consequences of not having a cash register when it is required?
If you ignore the requirement to have a cash register, the consequences can be severe. The Tax Office can impose a fine of up to 1001 TP3T in tax due on unrecorded sales.
That's not all – there's also the risk of criminal and fiscal liability, which may result in additional fines or other legal penalties. It's definitely better to comply with the regulations to avoid stress and additional costs.
Summary – Sell online without stress
E-commerce offers enormous opportunities, but it also comes with tax implications. To grow your online store smoothly, remember these key principles: maintain turnover limits, choose cashless payment methods, and clearly define product collection policies.
This will help you avoid unnecessary problems, gain peace of mind, and above all, focus on what's most important: developing your business.
