Checklist for a new entrepreneur in Warsaw
You're starting a business in Warsaw and know you'll need a cash register—but you're not sure where to start. Which cash register should you buy? Who handles the fiscalization process? What to report to the tax office and when? This article provides a complete 6-step checklist—from model selection, through fiscalization and registration, to tax relief, which can claim up to 700 PLN.

Step 1:
Do you really need a cash register?
Before you spend money on a device, check if you're really obligated. The rule is simple: you need a cash register if you sell to private customers and exceed an annual sales turnover of PLN 20,000. But there are exceptions in both directions.
When is cash required from the first transaction?
- Do you run a hairdressing or beauty salon?
- Do you have a car repair shop or tire repair shop?
- You run a catering business (restaurant, bar, cafe, food truck)
- You work as a doctor or dentist in private practice
- You sell alcohol or tobacco products
When does it apply only after exceeding PLN 20,000 in B2C turnover?
- Shop, service point, mixed B2B+B2C trade
- Physiotherapist, psychologist, dietitian
- Most industries not on the mandatory list
When is cash not required?
- You sell only to companies (B2B invoices) - no obligation regardless of turnover
- You sell online, accept only transfers and keep full records - exemption possible

Step 2:
Choose a cash register that suits your business
There's no one-size-fits-all solution. Before you ask about prices, answer three questions:
- Do you work in a permanent location or in the field (at a client's, in a market, in a food truck)?
- How many transactions do you process daily – a few or several dozen?
- Do you mainly sell services, products, or both?

Step 3:
Buy from an authorized dealer in Warsaw
This is an important step—only an authorized service technician can fiscalize the cash register. By purchasing from an authorized retailer, you can be sure that fiscalization will be performed correctly, the manufacturer's warranty will be maintained, and the entire purchase will be made in accordance with regulations.

Step 4:
Cash register fiscalization – what is it and when does it take place?
Fiscalization is the activation of fiscal mode by an authorized service technician. Without it, the cash register will not register sales, and you cannot use it. This is a mandatory and irreversible step—after fiscalization, the cash register operates only in fiscal mode.
- Fiscalisation is performed only by an authorised service technician - you cannot do it yourself
- The Cash Centre performs fiscalisation during delivery or at the branch in Warsaw
- Cost: approx. PLN 150–250 gross - when purchasing a cash register at the Cash Register Center, often included in a package
- After fiscalization: the cash register receives a unique number (NU) - write it down, you will need it to report it to the Tax Office
- The service technician issues a fiscalization report - keep it together with the cash register documents
Two important deadlines start running from the fiscalisation date:
- 7 days to report the cash register to the tax office,
- 3 business days to submit an application for the PLN 700 relief.
Step 5:
Report the money to the tax office - you have 7 days
After fiscalization, you have exactly 7 days to report the cash register to the tax office responsible for your company's registered office. This is a statutory deadline – exceeding it may result in problems with audits and loss of tax relief.
How does the cash register report to the Tax Office work?
- Select the appropriate tax office—there are more than a dozen tax offices in Warsaw. You can find the right one at podatki.gov.pl—enter your company's registered office address.
- Prepare the documents: proof of purchase of the cash register, fiscal report from the service technician, application form (available at the Tax Office or online)
- Submit a report – in person or via ePUAP. The Tax Office will assign a registration number to the cash register.
- Stick a sticker with the registration number on the cash register casing - an obligation resulting from the regulations

Step 6:
Relief of PLN 700 - don't forget to apply within 3 days!
This is the most frequently skipped step—and the biggest mistake new entrepreneurs make. The tax relief for purchasing a first cash register is a maximum of 700 PLN gross (no more than 90% net price of the device). But to get it, you have to submit an application to the tax office within 3 business days from the fiscalization date. Not from purchase. Not from reporting. From fiscalization.
ATTENTION: 3 business days is a strict deadline. After that, your right to the tax relief is irrevocably lost. If the tax assessment took place on a Friday, you must submit your application by Tuesday.
Who is entitled to the relief and how to calculate it?
- Active VAT payers – deduct the VAT relief in the current declaration (JPK_V7)
- VAT exempt taxpayers submit a cash refund application to the tax office
- The discount is not applicable when purchasing another cash register (only for the first one).
