Electronic receipts are slowly becoming the standard in sales systems. Maintaining sales records is much easier when we have access to electronic documents. It's a great solution for streamlining accounting processes and reducing operating costs for businesses. So what is an e-receipt and who can use this form of sales records in their company? E-receipt – what is it?
Pursuant to the Regulation of the Minister of Finance of April 29, 2020 on cash registers: e-receipt is a document in electronic form. According to the definition: this a collection of structured and ordered data from fiscal and non-fiscal documents.
It is worth adding that all information from e-receipts must be sent to the Central Cash Register Repository.

Since when has the e-receipt been in force?
The first attempts to implement e-receipts appeared in 2020. That's when a company from the refining industry tested a new method of settlement and ultimately demonstrated that this form of submitting accounting documents was very popular among gas station customers.
From April 2020, companies that record sales using online cash registers can issue so-called e-receipts.. To legally issue such a document, the buyer must agree to the receipt being provided electronically. In this case, there is no longer any need to print the traditional receipt.
In practice, the right to issue receipts in electronic form applies from:
- March 21, 2020 – applies mainly to people using online cash registers.
- June 1, 2020 – from this moment on, companies authorized to use a virtual cash register can issue e-receipts, i.e. through special computer software.
An e-receipt should be issued in a legible format so that potential customers can easily verify the correctness of the completed transaction. An electronic document must also be issued upon receipt of payment from the seller.

What does e-receipt give a company?
Electronic receipts are an excellent way to streamline business operations. Implementing virtual cash register software provides businesses with the following benefits:
- lower operating costs due to virtually zero consumption of paper and other consumables for receipt printers;
- saving time, as issuing an e-receipt takes much less time than printing a classic document;
- a convenient way to record sales – the electronic form of receipts makes archiving much easier.
Additionally, e-receipts can help protect the environment. The company uses less paper, thus reducing its consumption of natural resources. It also benefits the company's image – a company issuing e-receipts can be perceived as operating in accordance with corporate social responsibility.
Which company can issue an e-receipt?
Currently, any company can issue an electronic receipt provided it has access to an online cash register. This requires a configured repository and, of course, the ability to use an e-receipt management system via a fiscal printer. Such devices require an internet connection, but they allow both printing a paper receipt and generating an electronic version of the document.
In practice, with online cash registers (currently every new cash register works online) and e-receipts can be used by almost all entrepreneurs who record sales using a cash register with online access.
In the past, regulations in Poland imposed a mandatory obligation to issue e-receipts for certain types of activities, e.g.:
- sellers of diesel oil, gasoline, gases for combustion engines and heating fuels produced from coal,
- companies that provide short-term accommodation services,
- companies from the legal, construction, medical, as well as cosmetology, cosmetics and hairdressing industries.
At the moment, every cash register works online, every new device has access to the Internet and is ready to issue electronic receipts.
It's also worth noting that virtual cash registers aren't physical devices, but rather software that can be purchased for businesses, for example, as part of a subscription. This allows businesses to issue e-receipts using devices such as tablets, smartphones, or laptops. Pursuant to Article 111b of the VAT Act, sales records can be kept using software-based cash registers, but only in specific industries.
